Position Overview:
GO is looking for a Project Coordinator to join our dynamic team. This role is crucial in supporting workflow management, advertising deliverables, and print projects while assisting internal teams and account managers in ensuring seamless project execution. The ideal candidate is highly organized, detail-oriented, and excels in managing timelines, reviewing creative assets, and maintaining quality control across projects.
Key Responsibilities:
Advertising Deliverables & Workflow Management:
- Enter deliverables and project details into project management software (Monday.com).
- Conduct weekly reviews of all active and inactive project items to ensure accuracy.
- Follow up on impending deadlines at least 72 hours before client delivery to allow for internal review and edits.
- Ensure timely delivery of all creative assets and advertising materials to internal teams and vendors.
- Coordinate reporting timelines for the media team.
- Review creative assets for client revisions and updates.
- Document and distribute post-meeting notes, outlining key takeaways and team responsibilities.
Client & Team Workflow Support:
- Assist the Account Manager in managing client relationships and project coordination.
- Schedule and co-host client meetings, ensuring agendas are properly prepared.
- Schedule internal team meetings to align teams on client communication and project timelines.
Print Project Management:
- Oversee print projects from concept to final delivery.
- Manage printer relationships, including obtaining quotes and awarding jobs.
- Ensure files are correctly formatted and sent to printers.
- Monitor quality control and track shipments to clients to ensure timely delivery.
Quality Control & Standards:
- Review advertising creative and all new/revised deliverables to ensure accuracy.
- Maintain clear and accurate project documentation within Monday.com.
- Ensure client needs are met across creative pieces, media plans, and strategic documents.
- Review reports and invoices to ensure consistency and accuracy.
Requirements:
- ✅ Bachelor’s degree in Marketing, Communications, Business, or a related field.
- ✅ 1-3 years of experience in project coordination, marketing, or advertising.
- ✅ Strong organizational skills and ability to manage multiple projects at once.
- ✅ Experience with project management tools (Monday.com preferred).
- ✅ Excellent communication skills and ability to collaborate across teams.
- ✅ Understanding of print production and vendor coordination is a plus.
- ✅ Ability to work in a fast-paced, deadline-driven environment.
